can anyone fnd the right word here?

A clerk inspects goods on arrival and makes a 'varauma' - some sort of note

here is the context:

tarkastaa saapuvan tavaran määrän ja kunnon sekä laatii varauman ohjatusti

OR

tarkastaa saapuvan tavaran ja laatii varauman tarvittaessa

Explanation:
I believe this is what is meant by 'varauma'.

By the way, the actual term used in the link provided is 'initial complaint', which, after looking at my namesake's explanation of 'varauma', seems a fitting translation.

reservation (for e.g. a complaint later on)

Explanation:
This clarifies what one sort of 'varauma' means: When you receive a shipment you check the packaging and, if you notice some damages, you make a note (varauma) of it on the waybill (with the presence of the carrier).

By making this varauma you reserve yourself the possibility to make a complaint later on, if the goods occur to be damaged. (You can make a complaint also without varauma, but your prospects are much worse).

Their may be some better translation than reservation for varauma in English

agree  Markus: "Reservation" is OK as this is the word used in the CMR convention artice 30 (International road carriage). "Complaint" is not correct when speaking of road carriage. In sea carriage the word "notice" is the correct term (Hague-Visby Rules art. III.6).
