BENEFITS OF SYSTEM DOCUMENTATION

ISO 9001:2000 DOCUMENTATION REQUIREMENTS

ISO 9001:2000, clause 4.2, states that system documentation shall include:

1 statement of quality policy and quality objectives
2 quality manual
3 procedures required by ISO 9001:2000 (Mandatory requirement is for 6 as below)
4 any other documents* needed to control planning, operations and processes and
5 records as required by ISO 9001:2000

* This includes documents stipulating legal requirements pertaining to the delivered product/service

Clause 4.1 requires the organisation to document, implement and maintain a quality management system and continually improve its effectiveness.

There are in fact only six procedures required by ISO 9001:2000 to be documented and these are:

1. document & data control
2. record keeping
3. auditing
4. nonconformance control
5. corrective action and
6. preventive action

It must be emphasised that this is a minimum requirement and most organisations will want to develop more 'control paperwork'

THE DOCUMENTATION PYRAMID

Although ISO 9001:2000 requests organisations to address process rather than procedural control, most organisations feel comfortable with a traditional document hierarchy. The illustration of the typical or traditional (not a mandatory) structure of documentation can be found on page 4:

Bio
I worked for the State Planning Organization at the COMCEC-OIC (Organization of the Islamic Conference) primarily on written documents and speeches of the dignitaries, and as consecutive translator during recesses. During my employment at the World Bank, as part of my responsibilities, I prepared written legal defenses for submission to the Tribunal. In recent years, due to my versatility in English I have been drawn into translating financial text and tables as well as legal contracts. Although I hold an MBA the wide spectrum of the fields listed below is primarily due to my avid interest in learning and improving myself.
